How to use video conferencing.

As part of my IT Practitioner's Unit 1 Assignment 2 i have to write a blog post on how to use video conferencing.

What is video conferencing?
video conferencing is a communication technology that allows participants from long distances to be intergrated into business meetings using video and voice to connect the participants as if they are in the same room.

What hard ware is needed for a video conference?
Each participant needs a working computer, webcam and microphone. They also need a highspeed broadband connection for participation in the video conference.

what are the social drawbacks of video conferencing?
There is no interpersonal contact like eye contact and hand shakes which are essential aspects of many businesses this contact is not easily delivered through web cams.


You must prepare the conference effectively by sending an email to each participant of the meeting with clear details of the meeting time and attachments of presentations. Also ask each participant for confirmation of attendance so you know who is attending. Then prepare youself dress appropriately and formaly. Ensure your office or conference room is suitable for the meeting example, the room must be clean and tidy. You must also test your system by calling someone so that they can give you feed back on the clarity, volumne and professionalism of the surroundings.
When the time comes for the call you will know you are prepared. Start by introducing yourself and allowing all participants and attendee's to introduce themselves before you start building a relationship by having a friendly conversation about the meeting. Remember details metioned before and information from emails between you and the participants, go over itinerary if necessary. Remember to speak slowly and clearly allowing time for feed back and delay. After all issues are discussed allow friendly banter to wrap up the meeting and encourange participants/attendee's to call if any points need clarification.
